Refund & Cancellation Policy

This Refund & Cancellation Policy explains how cancellations, changes, and refunds work when you book travel through WB Travel Associates LLC (“WB Travel,” “we,” “us”). It supplements our Terms of Service. Please read carefully — travel bookings are highly rules-driven and refund eligibility depends primarily on the supplier’s own rules.

1. Two layers of rules apply

  • Supplier rules (primary): Every airline, hotel, cruise line, tour operator, insurance carrier, and ground provider has its own cancellation, change, and refund rules. These are set by the supplier, not by WB Travel Associates, and they control refund eligibility for the underlying travel product.
  • WB Travel service fees (secondary): Any professional planning, research, or ticketing service fee we charge is separate from supplier fares and is governed by this policy.

2. Airline tickets

  • Most airline tickets, especially discounted fares (Basic Economy, Saver, non-refundable Main), are subject to strict change/cancel penalties or are entirely non-refundable per the fare’s rules.
  • Refundable fares are typically labeled explicitly and cost more.
  • Under U.S. Department of Transportation rules, U.S.-touching itineraries may generally be canceled without penalty within 24 hours of purchase if booked at least 7 days before departure. This is a right you exercise through us or the airline directly.
  • Schedule changes, cancellations, and involuntary re-routes by the airline are governed by the airline’s contract of carriage and may entitle you to a refund, a re-accommodation, or a future travel credit at the airline’s discretion.

3. Hotels, resorts, and vacation rentals

Cancellation windows and penalties are set by the property or its booking channel. Non-refundable rates offer no refund after booking. Standard cancellation windows are typically 24–72 hours before check-in but can be much longer for peak dates, resort properties, and vacation rentals. Deposits may be non-refundable independent of the room rate.

4. Cruises

Cruise cancellation penalties escalate as the sail date approaches, typically:

  • 90+ days before sailing — deposit refundable (unless a non-refundable-deposit promo was chosen);
  • 60–89 days — 25%–50% penalty;
  • 30–59 days — 50%–75% penalty;
  • Under 30 days — 100% non-refundable.

Exact windows vary by cruise line, fare code, and cabin category. We provide the specific schedule at booking.

5. Escorted tours, land packages, and custom itineraries

Tour operators typically require non-refundable deposits at booking and impose escalating cancellation penalties as departure approaches. Some tours are 100% non-refundable at booking. We disclose the operator’s schedule in writing before you pay.

6. WB Travel professional-service fees

  • Any planning, research, or ticketing fee charged by WB Travel Associates is disclosed and agreed in writing before it is charged.
  • Such fees are non-refundable once the associated work has been performed (research completed, itinerary drafted, ticket issued).
  • If we cancel our services before performing the work, the corresponding fee is refunded in full.

7. How to request a cancellation or change

  • Contact us by phone at (800) 211-3161 during business hours, or email sales@wbtravelpros.com at any time.
  • Include the booking reference/record locator, traveler names, and the requested change.
  • We will confirm receipt within one business day and provide the supplier’s specific rules and the total penalty amount before any action is taken.
  • For urgent same-day travel issues (missed connection, denied boarding, emergency medical), call the phone number above and, if outside business hours, follow the on-call instructions provided in your travel documents.

8. How refunds are processed

  • Approved refunds are issued to the original form of payment.
  • Airline refunds typically post 7–20 business days after processing; cruise and tour refunds may take 30–90 days.
  • Supplier-issued future travel credits are governed by the supplier’s own terms (validity window, transferability, name-change rules).

9. Travel insurance

Comprehensive travel insurance is the single most reliable protection against cancellation loss for reasons the supplier does not cover (illness, family emergency, work conflict, supplier insolvency). We strongly recommend purchasing insurance at time of first payment. Insurance purchased after a triggering event is generally not honored.

10. Chargebacks

If you initiate a credit-card chargeback for a valid, delivered travel product without first attempting resolution with WB Travel Associates and the supplier, you may forfeit any future service and be responsible for fees incurred. Please always contact us first — most disputes are resolved faster and more favorably outside the chargeback process.

11. Force majeure

Cancellations caused by force majeure events (war, terrorism, pandemic, natural disaster, government travel bans, airline strikes) are governed by the affected supplier’s force-majeure provisions. WB Travel Associates will advocate on your behalf but cannot guarantee outcomes that are outside supplier and government control.
